1. Purpose
Canadian Electric, and Logics Technology (collectively referred to as “we,” “our,” or “the Project Partners”) are committed to protecting the privacy and confidentiality of all individuals participating in the Ontario Skills Development Fund Training Stream (SDF-TS) project. This Privacy Policy explains how we collect, use, share, and protect personal information in compliance with all applicable privacy laws and the contractual obligations set forth in the Transfer Payment Agreement with the Government of Ontario.
2. Scope
This Privacy Policy applies to all personal information collected, stored, processed, and disclosed by the Project Partners for the purpose of planning, delivering, and evaluating the SDF-funded project. This includes information collected from participants, employers, training providers, and subcontractors.
3. Legal Compliance
We operate in compliance with:
- Freedom of Information and Protection of Privacy Act (FIPPA)
- Municipal Freedom of Information and Protection of Privacy Act (MFIPPA)
- Personal Information Protection and Electronic Documents Act (PIPEDA)
- All other applicable federal, provincial, and municipal privacy legislation and contractual requirements under the Skills Development Fund Agreement
4. Privacy Oversight and Governance
Each Project Partner has designated a Privacy Officer responsible for:
- Overseeing compliance with this policy and the privacy provisions of the Agreement
- Training employees, contractors, and subcontractors on privacy obligations
- Managing any breach notification or incident response process in collaboration with the Province
5. Collection of Personal Information
We only collect personal information when necessary to:
- Determine participant eligibility and provide services
- Administer the SDF project and issue participant stipends
- Comply with reporting, auditing, and evaluation requirements of the Province of Ontario
Notice of Collection and Consent:
All participants will be provided a written Notice of Collection and asked for informed and voluntary written consent prior to data collection. For individuals under the age of 18, parental or guardian consent will be obtained.
6. Use and Disclosure
Personal information will be used solely for the delivery, administration, and evaluation of the SDF project. Disclosure may occur under the following circumstances:
- To fulfill mandatory reporting requirements to the Province or its representatives
- For project evaluation or auditing purposes
- With participant consent for additional services or supports
We do not use or disclose personal information for purposes unrelated to the project without explicit consent.
7. Accuracy and Participant Access
We strive to maintain personal information that is accurate, complete, and up to date. Participants may:
- Request access to their personal information
- Request corrections, if inaccuracies are found
All access requests will be handled in accordance with applicable privacy legislation.
8. Data Security and Storage
- Personal information is securely stored in Canadian data centres that meet ISO/IEC and GO-ITS 25.0 security standards.
- Access is restricted to authorized personnel who require it for project delivery and who are bound by confidentiality agreements.
9. Retention and Destruction
All personal information will be retained for seven (7) years from the date of collection, as required by the Agreement. After this period:
- Paper records will be securely shredded
- Electronic records will be permanently deleted in a manner that prevents recovery
10. Privacy Breaches
If a privacy breach occurs or is suspected, we will:
- Immediately notify the Province of Ontario
- Cooperate fully in any investigation
- Take corrective actions to mitigate risk and prevent recurrence
11. Third-Party Service Providers
All third-party contractors or subcontractors engaged by any of the Project Partners who access personal information must:
- Sign confidentiality agreements
- Adhere to this Privacy Policy and all applicable privacy laws
